Our team includes strong, dedicated Virtual Assistants who support our Claims Coaches in delivering exceptional service to our clients.
Role Overview
The Director of Operations will oversee the operations and performance of the Virtual Assistant (VA) staff, ensuring the quality and efficiency of their work. This senior leadership role requires a proactive, results-driven professional who is committed to the long-term success of the company, with a focus on optimizing operational processes and leading a dynamic team.
Key Responsibilities
• Operational Oversight:
o Manage daily operations of the VA team to ensure tasks are completed efficiently and accurately.
o Monitor attendance, work schedules, and performance of VA staff.
o Ensure timely and quality completion of all VA tasks, including administrative and client support work.
• Process Implementation and Management:
o Develop and refine processes for tracking and improving VA performance.
o Implement quality assurance measures to monitor and evaluate the accuracy and completeness of VA deliverables.
o Oversee and manage workflows using tools like Google Workspace, Slack, Bigin CRM, and other internal software.
o Document business processes and workflows to identify and implement improvements.
• Performance Management:
o Conduct regular performance reviews and provide constructive feedback.
o Counsel staff on performance and implement Performance Improvement Plans (PIPs) when necessary.
o Identify training needs and arrange necessary upskilling opportunities.
o Motivate staff to achieve individual and team goals, fostering a high-performance culture.
• Leadership and Team Dynamics:
o Exhibit solid leadership skills while working as a team player.
o Address and resolve personnel issues and concerns effectively.
o Foster a positive and collaborative team environment, maintaining high morale and staff engagement.
• Tools and Documentation:
o Implement tools and develop resources to improve company operations, such as creating manuals, user guides, and workflow diagrams.
o Continuously assess and optimize operational processes.
• Immediate Impact:
o Jump in on Day 1 to learn the VCS business while simultaneously assessing areas for operational improvement.
o Work closely with leadership to identify and implement changes that support company growth and efficiency.
• Independent Leadership:
o Ability to work independently without needing daily tasks and instructions from upper management.
o Take ownership of the daily operations and execute based on management's intent.
Compensation and Benefits
• Starting Salary: $900 USD per month, commensurate with experience.
• Bonuses: Eligibility for monthly and quarterly bonuses based on company performance.
• Salary Increase: Opportunity for a salary increase after a 90-day probation period for exceptional performance and goal achievement.
• Paid Time Off: 10 days of PTO plus an additional day off for each of the 11 US Federal Holidays.

Qualifications
• Experience:
o Minimum of 10+ years in a supervisory or management role overseeing the performance of staff members.
o Proven experience in counseling staff on performance and implementing improvement plans.
o Experience implementing tools to improve company operations (manuals, user guides, workflow diagrams, etc.).
• Skills:
o Bachelor’s degree in Business Administration, Operations Management, or a related field.
o Proficiency in using tools such as Google Workspace, Slack, and CRM systems.
o Strong leadership and communication skills.
o Ability to work independently and make data-driven decisions.
o Exceptional organizational and time management skills.
o High-level proficiency in English, both written and verbal.
