What’s the Mission?

Your role is to supercharge our operations and ensure we’re turning every lead into gold.

This is not a role for the faint-hearted. It’s for someone who can:
1. Maximize Lead Conversion
- Oversee and manage our Customer Service Reps (CSRs) to ensure every qualified inquiry is turned into a scheduled appointment.
- Hold reps accountable to high-performance call metrics: call volumes, answering speeds, and lead booking rates.
2. Own Project Administration
- Oversee all project administration tasks from start to finish, ensuring accuracy and efficiency.
- Ensure timely and correct invoicing to keep the cash flow smooth and on-point.
- Proactively handle customer complaints, manage warranty claims, and mitigate risks before they escalate.
- Guarantee the correct application of all project administration forms to ensure compliance and smooth workflows.
- Develop and monitor processes that keep projects running without a hitch while maintaining client satisfaction.

3. Keep Sales Quotes Tight
- Work with our sales team to ensure quotes are sent quickly, accurately, and professionally.
- Oversee follow-ups like a hawk to make sure no lead slips through the cracks.

4. Streamline Customer Experience
- Manage the entire customer lifecycle—from the first call to project completion.
- Resolve complaints like a pro and help the CSRs handle challenges before they become wildfires ????.

5. Cut Waste and Boost Efficiency
- Review Hubstaff data to monitor time tracking, activity levels, and overall performance.
- Identify inefficiencies, eliminate wasted time, and drive operational excellence.

6. Own the One-on-Ones
- Hold regular performance reviews with CSRs to:
- Monitor call volumes and response times.
- Set clear expectations and provide actionable feedback.
- Provide coaching to keep the team motivated, aligned, and accountable.

? Proven experience managing teams (customer service, project administration, or similar).
? Experience overseeing invoicing, project documentation, and customer risk mitigation.
? Exceptional problem-solving skills and a knack for handling customer challenges, warranty claims, and complaints.
? A detail-driven mindset to catch the small stuff that makes a big impact.
? Tech-savvy: Comfortable with Hubstaff, CRM tools, and call management platforms.
