The Accounting Associate 3 (AA3) is an expert-level preparer responsible for the timely and accurate preparation of client books. The AA3 adds value to the company by analyzing reports generated for clients, while being culturally fit both on the job and within the HAPI community.

The successful candidate should have the capability to work remotely and on occasional basis remote onsite at one of our offices within Metro Manila.

Duties include but not limited to:

Technical Skills:

General Accounting

  • Cash posting and categorization of transactions
  • Download bank and credit card statements
  • Create bank rules and automation
  • Bank and credit card reconciliations
  • Preparation of bookkeeping workpaper
  • Preparation of account schedules
  • Inventory Accounting recognition for Cost of Goods Sold (COGS), Work in Progress (WIP), Finished Goods (FG) which includes analysis and calculation of unit cost
  • Preparation of Inventory, COGS and WIP schedule
  • Record transactions in accordance to US Generally Accepted Accounting Principles (GAAP)
  • Prepare and analyze class, departments, project types within the accounting system
  • Clean up and catch up of books
  • Perform financial account reconciliation
  • Prepare Financial Reports and analytics
  • Have a general understanding of Gross Profit (GP) rate (for self-check of work)
  • Having a general understanding of flux analysis
  • Analyze sales by state
  • Reasonable salary analysis
  • Understanding the basic tax impact
  • Preparation of financial conversion, consolidation and dissolution workpaper
  • Prepare, monitor and record business expenses based on accountable plan
  • Prepare, monitor and calculate qualified R&D expenses
  • Assess and recommend chart of accounts groupings according to contribution margin financial presentation which includes but not limited to Contribution Margin, Selling Cost, Advertising and Marketing Cost, G&A
  • Attach supporting documents needed per transaction
  • Perform closing of books

Payroll

  • End to end payroll processing which includes but not limited to:
  • Management of payroll and reimbursements
  • Assist in onboarding and offboarding employees
  • Assist in answering general payroll and benefits questions
  • Payroll reconciliation including salaries and wages, taxes and benefits Payroll Onboarding and Offboarding (Dismissal)
  • Back Payroll preparation
  • Payroll State registration
  • Update UI rate per state
  • Assistance on enrollment of retirement plans
  • 401k and R&D Tax Credit Claim in payroll system

Bills and Invoicing

  • Invoice and bills processing including debit and credit memos following client’s systems and tools
  • Recognize and separate input (purchase) and output (sales) tax
  • Perform 3-way matching
  • Accurate application and matching of payments
  • Prepare and analyze Accounts Payable (A/P) and Accounts Receivable (A/R) Aging summary and detailed report
  • Perform Accounts Payable (A/P) and Accounts Receivable (A/R) reconciliation
  • Adding of vendor and customer name and descriptions in client’s systems and tools

Other accounting related duties

  • Prepare summary of possible contractors for 1099 reporting and W9 request
  • Prepare Form 1099s
  • Download filed 1099 forms and save in client’s file sharing platform

Systems and tools

  • Set up of relevant accounting systems used by clients.
  • Process systems integration as needed including bank and credit cards updating
  • Management of daily deliverables and project status updating in task management tool
  • File Management which includes but not limited to downloading and saving supporting documents and working paper as required by the company or client
  • Have obtained certification in QBO, Xero, Gusto, Bill.com
  • Learn new software and obtain certification, if available, used by the client

Client Management

  • Prepare summary of queries to be sent to the client
  • Raise summary of open items and queries for client’s resolution
  • Utilize time tracker app to efficiently manage clients
  • Ability to handle and manage multiple clients
  • Meet with clients on a regular basis

Other Duties and Responsibilities

Qualifications:

  • Bachelor's degree in Accounting or Finance.
  • Preferably CPA but not required
  • With a minimum of 2 years of significant US accounting experience
  • Strong knowledge of accounting principles and regulations.
  • Proficiency in accounting software and Microsoft Excel.
  • Excellent communication and interpersonal skills.
