Job Overview and Purpose
To coordinate, execute, monitor, improve and document all Logistics and Logistics-related tasks for the timely and smooth importation and physical distribution of Mars products in Philippines, in a cost efficient manner that is compliant with local legal requirements, and in accordance with the Mars Corporate Quality in Distribution and Supply Chain Safety Standards.
Key Responsibilities
Importation - Processing and Releasing (including documentation)
- Coordinate with source units on shipping schedules and documents required for importation
- Coordinate with broker-forwarder in clearing shipments from Customs
- Monitoring of import permit application (SPS) with customs brokers
- Secure complete and correct documents for releasing shipment within the stipulated shipment ETA.
- Secure and prepare necessary documents to release shipments (Invoices, Packing Lists, Bills of Lading, Delivery Receipts, etc.) for submission to Customs authorities.
- Review computations and request for payment of duties and taxes (in coordination with Service and Finance) for each importation
- Coordinate with warehouse on delivery and unloading of containers and in ensuring necessary documents to support any claims are correctly filled up and submitted to S&F on time
- Coordinate with broker-forwarder in ensuring that a representative is present at the warehouse during unloading and necessary reports of unloading are correctly filled-up and submitted on time
- Monitor movement of shipments from arrival to releasing, delivery and unloading at the warehouse; ensure standards as agreed with broker-forwarder, shipping lines and customs are observed and report any issues that are not aligned with such standards
- To review & verify the Credit Memos submitted by the distributors before issuing the Credit Note.
- To monitor on Mars Own stock and ensure that the warehouse sends the report on time every 4-week period.
- To arrange pull-out of Mars-owned stock and make necessary stock transfers between distributors as per the Logistics Planner’s request.
- To build a good rapport with Global Ocean Tender (GOT) shipping lines to obtain support for related shipment clearance matters.
Warehouse Management
- Manage Logistics operations in Philippines market to deliver the service needs of customers in a cost efficient manner that is compliant with local legal requirements, and in accordance with the Mars Corporate Quality in Distribution and Supply Chain Safety Standards
- Identify, drive and implement DIB LCC program to improve customer service, maximize operational efficiencies and minimize total business costs.
Product Quality - Management Of Product Freshness and Copacking management
- Prepare necessary documents in filing and supporting shipment claims.
- File shipment claims within the stipulated time frame from shipment arrival.
- Coordinate & monitor Non-Saleable Returns (NSR) destruction with the distributor warehouses.
- Manage and monitor copacking quality and performance in accordance to Mars EMQM standard.
- Overseeing and tracking regulatory stickerring process with distributor to ensure compliance with country regulation
Government Liaison Function
- Support SRA team on the renewal of product registrations (CFPR) if required to ensure that there will be no delays in ongoing product delivery or new product launches and to prevent any problems in the sale and distribution of the products.
- Timely application of all import permits (SPS) / Import quota necessary to release all shipments.
- Timely renewal of License to operate (LTO) to ensure business continuity
- Attend to enquiries or requests of government agencies, 3rd party consultants and the like in relation to government requirements for importations, selling and distribution of products.
- Provide updates, reports on any changes in government requirements, policies and procedures that may affect business particularly on importations, releasing, selling and distribution of products.
Role in SAP System
- Issuance of Credit Notes to distributors based on their Credit Memos.
- Inventory Reconciliation - ensure accurate reporting of Goods In Transit (GIT) with Accounting Team.
Customer Service Function
- Process invoice for the containers to be delivered to the distributors on time before the actual delivery to the warehouse(s) in coordination with the agreement with distributors.
Job Specification and Qualification
- Education & Professional Qualification: A Degree/Diploma in Logistics, Supply Chain, or related field of study.
- A minimum of two (2) years, but preferably at least six (6) years in Logistics Coordination, primarily in the FMCG industry. The capability to handle and understand warehouse operation & quality will be key advantage.
