What we’re looking for:

We are looking for a Junior Project & Operations Coordinator who can manage projects, oversee team activities, and optimize operational processes while also handling executive support tasks such as scheduling, organizing, and documentation. As a Junior Project & Operations Coordinator, you will be responsible for managing projects, implementing structured workflows, and ensuring smooth daily operations. You will also support administrative and executive tasks such as scheduling meetings, maintaining documentation, and improving team coordination. The ideal candidate is highly organized, detail-oriented, and comfortable working with project management tools.

Responsibilities—what you'll do:

  • Oversee and manage multiple projects, ensuring tasks are completed on schedule.
  • Organize and optimize project workflows using tools like Asana, Trello, or ClickUp.
  • Create and maintain task templates for recurring workflows to improve efficiency.
  • Monitor project progress, identify bottlenecks, and adjust plans as needed.
  • Facilitate coordination across teams to ensure smooth execution of project deliverables.
  • Maintain structured documentation, agreements, and contracts to ensure smooth contractor onboarding and compliance.
  • Organize and schedule internal meetings, ensuring clear agendas and timely follow-ups.
  • Assist with calendar management, scheduling, and email coordination for leadership.
  • Implement and refine workflow processes within project management tools.
  • Track performance metrics to assess workflow effectiveness and identify areas for improvement.

Requirements:

  • Experience using Asana, Trello, or other project management tools to organize and oversee projects.
  • Strong ability to manage multiple priorities while keeping teams aligned and on track.
  • Experience with calendar management, scheduling meetings, and executive support tasks.
  • Familiarity with tools such as Google Workspace, Microsoft Office, Slack, and Notion for documentation and collaboration.
  • Fully fluent in English
  • Ability to work U.S. business hours (Pacific Time, Central Time, or Eastern Time)
  • This position is for serious, career-oriented candidates
