Key Dimensions

Financial Delegation

The position has no set financial delegation. The Controller must approve all financial expenditure.

Key Internal Relationships

  • Reports to the Controller on daily issues/queries, identified risks or concerns or if requiring assistance.
  • Interacts with Accounts Team, and Administration to share knowledge and contribute to continual improvement of the team.
  • Interacts and builds a high level of rapport with the Accounts Team, Key Stakeholders, Valuers and Administration

Key External Relationships

  • Liaises with clients and customers regarding documentation or file clarification, and payment of private valuations.
  • Contacts external parties as needed, to answer enquires regarding pre-payments, accounts,

Key Responsibilities

  • Maintaining of Accounts Payable, Accounts Receivable, employee claims reimbursement and End-of-Month reconciliations
  • Responding to client email queries (AP and AR)
  • Various General ledger reconciliations
  • Provide daily turnover and weekly allocation report to maximize operational efficiency within the business
  • Collection, preparation and banking of daily takings.
  • Arrange invoice approval and submission within a timely manner to the Shared Services team for processing
  • Administrator of the JLL MS bank accounts
  • Co-ordinate manual/bank cheques, update and reconcile the bank statements
  • Proactively chase outstanding debtors
  • Preparation and processing of standard journals.
  • Meet all corporate reporting requirements and deadlines consistently
  • Ensure compliance with accounting standards
  • Responding to daily financial and administrative demands to maximize operational efficiency within the business
  • Ad hoc tasks as required

Qualifications

Qualifications and Key Skills

  • Peoplesoft and experience preferred.
  • Previous experience in Residential valuations financial management – highly favorable
  • Previous experience in working with Australian Business and understanding of the Australian GST Law

Key Performance Indicators

Work Productivity

  • Downloading bank statement (Daily, AM as early as possible)
  • Marking off Prepayment jobs (Daily, AM as early as possible)
  • Email monitoring queue and responding to queries (Daily)
  • Receipting (Daily)
  • Bank Statement Reconciliation (Weekly)
  • ING Valocity - monthly reconciliation and issuing Tax invoice including Manual Adjustments (10th of the month)
  • WestPac Contract Compliances – monthly workings, process refunds, and individual credit adjustments (Monthly)
  • Valex – Workings (Monthly bulk Client payment), including processing manual adjustments in sage. Workings Completed during the month, and receipting is completed when funds are received end of the month
  • ANZ Valex Workings (including processing manual adjustments in Sage) Monthly (currently approx 1-2 bulk payments received each month)
  • Valex IMM workings (jobs completed by VA on IMM Valex & jobs completed by IMM on MS Valex) - Once payment is received from Valex - 1. determine which jobs belong to IMM, enter funds to 12133-IMM Valex Intercompany account & email each state contact and request Tax Invoices - transfer funds to Corp once received. 2. determine which jobs on Valex account will be paid by Corp. TRF invoices to 12133-IMM Valex Intercompany account, email Tax Invoices to IMM state contacts as they request.
