Position Overview:

We are seeking a proactive and highly skilled Virtual Assistant to support the director in multiple areas, including marketing, operations, business development, customer service, and accounting. This is a versatile role that requires an entrepreneurial attitude, a broad skill set, and the ability to take initiative and work independently with minimal direction. You will be integral to ensuring the smooth operation and growth of our business.

Key Responsibilities:

Marketing and Social Media Management:

-Develop and execute digital marketing strategies, with a strong emphasis on social media.
-Create and edit engaging content using tools like Canva and manage social media accounts.
-Monitor social media trends and analytics to optimize performance.
-Oversee and coordinate with advertising freelancers (e.g., Google Ads specialists), ensuring they stay on track and deliver results.

Operations and Logistics:

-Manage daily operations and logistics, including stock ordering and inventory management.
-Create stock forecasts and gather stocktake data from on-shore teams.
-Oversee the booking process, ensuring smooth operations and excellent customer service.

Accounting and Financial Management:

-Perform accounting tasks such as reconciling accounts in Xero.
-Update and create treatment cost and profit spreadsheets.
-Assist with financial reporting and budgeting as needed.

Customer Service:

-Handle customer inquiries and manage booking calls with a professional and friendly demeanor.
-Ensure clients have a seamless experience from inquiry to treatment.

Business Development Support:

-Assist with business development initiatives, including market research and partnership management.
-Support the director in identifying new business opportunities and strategies.

Freelancer Coordination and Management:

-Work closely with other freelancers to ensure they stay on track with their tasks and deliverables.
-Take responsibility for coordinating with advertising freelancers, such as those managing Google Ads, and provide regular reports on their performance and outcomes.

Administrative and Personal Assistant Duties:

-Organize and manage the director's schedule and personal tasks.

Qualifications:

-Experience in digital marketing and social media management, with the ability to create and edit content using Canva or similar tools.
-Strong understanding of accounting principles and experience using Xero or other accounting software.
-Excellent customer service skills, with experience managing bookings and customer inquiries.
-Strong organizational skills and attention to detail.
-Ability to multitask and manage time effectively in a fast-paced environment.
-Entrepreneurial mindset with a proactive approach to problem-solving and taking initiative.
-Experience working with freelancers and managing their -performance and deliverables.
-Excellent communication skills, both written and verbal.
-Ability to work independently and as part of a team.
-Experience in the health and wellness industry is a plus but not required.
