Who We're Looking For
We're seeking a highly motivated and detail-oriented Executive Assistant to support our leadership team in a fast-paced, remote environment. If you love working behind the scenes to ensure seamless operations, have excellent people skills, and thrive in a proactive, results-driven environment, this is the role for you. We need someone with integrity, strong attention to detail, and a passion for providing exceptional support.

This is a full-time remote position with a night shift (9 PM - 6 AM PH Time) to accommodate our clients in the United States. We are looking for someone who is eager to work 8 hours a day, 5 days a week, and who is passionate about making an impact through their organizational skills and dedication.

Responsibilities
Executive Support: Manage complex calendars, appointments, and meeting schedules for the leadership team, ensuring optimal time management and efficiency.

Email & Communication Management: Prioritize and respond to email s, flagging urgent matters and communicating effectively with clients, partners, and internal teams.
Client Relationship Management: Build and maintain strong relationships with clients, ensuring that their needs are met and expectations are exceeded.
Travel Coordination: Arrange and manage travel logistics, including booking flights, accommodations, and ground transportation for senior leadership.
Reporting & Presentation Preparation: Prepare and organize reports, presentations, and other business materials for internal and external stakeholders.
Administrative Support: Provide daily administrative support, including managing phone calls, maintaining files, processing documents, and assisting with ad-hoc tasks.
Cross-Department Collaboration: Work closely with other teams (sales, marketing, operations) to ensure alignment, efficient communication, and timely execution of projects.
Confidentiality: Handle sensitive information with discretion and maintain confidentiality across all tasks and communications.

Experience
Experience: 2-5 years of experience as an Executive Assistant or in a similar administrative role, ideally in a fast-paced or remote work environment.
Technical Proficiency: Proficient with Google Suite, Slack, GoHighLevel, SmartSuite, Canva, and other digital tools used for communication, task management, and reporting.
Strong Communication Skills: Exceptional written and verbal communication skills with the ability to interact professionally with executives, clients, and other tea m me mbers.
Organization & Time Management: Demonstrated ability to organize, prioritize, and manage multiple projects simultaneously, ensuring that deadlines are met and details are accurate.
Client-Focused: Proven experience in managing client relationships, providing excellent customer service, and resolving client issues in a timely and professional manner.
Adaptability: Comfortable working remotely in a flexible, fast-paced environment, especially in a night shift role (9 PM - 6 AM PH Time) to align with U.S. clients.
Problem-Solving & Critical Thinking: Ability to think critically, solve problems proactively, and handle unexpected challenges with a calm and solution-oriented approach.
