Job Purpose and Role

We are seeking a proactive and detail-oriented Executive Assistant to support our client’s team. This role requires strong organizational skills, proficiency in Excel, and the ability to create surveys and handle administrative tasks efficiently. The ideal candidate will be responsive, reliable, and capable of managing tasks with minimal supervision.

Key Responsibilities

1. Administrative Support

  • Manage schedules, meetings, and correspondence for executive-level professionals.
  • Organize and maintain electronic records and documents.
  • Ensure timely completion of administrative tasks and follow-ups.

2. Excel and Data Management

  • Create, edit, and manage Excel spreadsheets, including advanced formulas, dropdown menus, and other data functions.
  • Generate reports and dashboards as required.

3. Survey Design and Analysis

  • Use tools like Google Forms or SurveyMonkey to design, distribute, and analyze surveys.
  • Compile survey data and provide clear summaries for team or board review.

4. Communication and Responsiveness

  • Respond to emails and task requests within 24 hours.
  • Serve as a point of contact for inquiries and follow-ups, ensuring prompt and professional responses.

5. Task Organization and Coordination

  • Assist with project coordination by tracking progress, prioritizing tasks, and meeting deadlines.
  • Collaborate with team members and stakeholders to complete ad hoc assignments.

Preferred Qualifications

  • Have 3 - 5 years of experience as Executive Assistant.
  • Previous experience supporting executives or board members.
  • Experience with time management or productivity tools like Trello, Asana, or Notion.
  • Familiarity with tools such as Slack, Zoom, or Microsoft Teams for communication.

Work Expectations

  • Availability for up to 10 hours per week, with flexibility based on workload.
  • Ability to adapt to a sporadic schedule (respond to requests as needed within a 24-hour window).
  • Willingness to attend occasional virtual meetings, potentially during U.S. Central Time hours.
