Responsibilities:

Proposal writing

  1. Proposal Development and Writing
  • Create clear, concise, and tailored proposals that address the client's specific needs and objectives, responding to RFPs (Requests for Proposals), RFIs (Requests for Information), and RFQs (Requests for Quotations), ensuring they are well-structured, professional, and adhere to the company's branding and guidelines, and customizing templates or creating new proposal content as needed.
  1. Understanding client requirements
  • Analyze client requirements and thorough analysis of RFP documents and solicitation materials, researching their industry, challenges, and goals, and working closely with sales teams, account managers, and subject matter experts (SME’s) to ensure tailored proposals that align with their specific needs.
  1. Collaborating with internal teams
  • Collaborate with internal teams to gather necessary data for proposals, coordinate with subject matter experts for technical accuracy, and collaborate with graphic designers to create visual aids, such as charts and graphs, to support the proposal narrative.
  1. Highlighting Competitive Advantages
  • The proposal should highlight the BPO company's unique strengths, such as cost savings, operational efficiency, technology adoption, industry expertise, and scalability, as well as its value proposition, focusing on client-centric outcomes like productivity improvement, customer satisfaction, and business process optimization.
  1. Compliance and Quality Control
  • Ensure all proposals meet the client's requirements, including formatting, word limits, deadlines, and technical specifications; performing quality checks; and editing and proofreading for high-quality and professional writing.
  1. Pricing and Costing
  • Collaborate with finance and operational teams to create competitive pricing models and cost estimates, aligning with client expectations and internal profitability goals for the BPO company.
  1. Meeting Deadlines and Managing Multiple Projects
  • Manage and prioritize multiple proposals simultaneously, ensuring timely submission while maintaining quality and competitiveness. Develop timelines and schedules to meet client deadlines, including interim deadlines for draft reviews and approvals.
  1. Proposal optimization and continuous improvement
  • Maintain a reusable proposal repository for future use, analyze client feedback for refinement, and stay updated with industry trends and BPO solutions to stay relevant and effective in submitting proposals.
  1. Presentation of proposals
  • Contribute to the preparation of proposals for client meetings and bid presentations, and aid the sales team in showcasing proposals to prospective clients, emphasizing crucial elements that align with client goals.
  1. Post-Submission Follow-Up
  • Monitor proposal submission statuses, providing clarification during evaluation, and adjusting proposals based on client feedback during negotiations, ensuring smooth communication with clients.
  1. Proposal Library Maintenance
  • Maintain a centralized repository of proposals, templates, and supporting documents, ensuring they are current, compliant with company policies, and updated with the latest offerings and services.

Support the outbound sales team.

  • Collaborate with the Outbound Sales Team to develop targeted lead lists.
  • Utilize CRM systems, lead generation software, and data analysis tools to identify potential clients that align with the BPO company's service offerings.
  • Analyze industry trends, market segments, and geographic regions to define the target audience.
  • Collaborate with the sales team in developing outbound sales strategies.
  • Translate strategies into compelling content for outbound campaigns.
  • Refine and update lead lists based on sales team feedback and market changes.

Provide general support to the sales team.

  • Regularly reviewing and updating sales materials to align with company offerings, value propositions, and trends.
  • Monitoring usage and feedback for necessary improvements on sales materials as needed.
  • Providing ad-hoc support by customizing or creating new collateral for specific clients or opportunities, ensuring a tailored and professional approach.
