Job Overview: The Essentials of Your Role

Employment Type: Full Time

Shift: Mon - Fri 06:30 AM - 03:30 PM, Fixed weekends off

Responsibilities: Your Day-to-Day Impact

Client Onboarding and Delivery

  • Develop workflow and process automation templates for onboarding new HR Retainer and Recruitment clients.
  • Facilitate the onboarding process by preparing and providing necessary documentation, communicating with clients, and scheduling meetings.
  • Collaborate with internal teams to ensure a smooth transition and onboarding experience for clients.
  • Monitor and follow up on onboarding milestones to ensure timely completion.
  • Serve as a superuser on Employment Hero and act as an administrator for client accounts.
  • Respond to client queries and address concerns.
  • Liaise with client payroll providers and other external parties, as relevant.
  • Identify and resolve internal friction points to ensure successful delivery of services.
  • Utilize Asana to set up, assign, and track tasks related to HR projects and client delivery.
  • Coordinate with team members to ensure projects meet deadlines and quality standards, addressing potential bottlenecks and communicating any issues.
  • Reporting for Retainer Clients:
  • Develop and deliver weekly Slack reports to communicate key activities.
  • Create additional reports as requested.
  • Compile monthly and quarterly activity reports for clients, highlighting value-added services.

Documentation Creation and Management

  • Create, organize, and maintain client-related document templates, such as policies and performance improvement plans.
  • Use Google Sheets report data to craft visually compelling and informative stories for client insights.
  • Draft content for key documents, including culture survey reports and performance review processes.
  • Ensure documentation is up-to-date and compliant with company policies and legal regulations.
  • Maintain a document register and establish a regular review process.
  • Manage the storage and accessibility of documents securely and efficiently.
  • Review internal business processes regularly to maximize effectiveness and decision-making efficiency.

Operational Support

  • Identify and implement opportunities for process improvements and automation within HR and operational workflows.
  • Manage automation tools to streamline administrative tasks and increase efficiency.
  • Prepare contracts for client services and oversee the signatory and filing processes.
  • Prepare client invoices using Xero and handle basic finance administration tasks, including reconciliation.
  • Schedule client meetings with internal team members as requested.
  • Create and maintain a LinkedIn and social media content planner, posting approved content.
  • Use Canva and brand guidelines to design content assets.
  • Prepare agendas, action items, and manage Asana for internal and external meetings.
  • Assist with ad hoc administrative tasks, such as travel booking.

Recruitment Support

  • Reporting for Recruitment Clients:
  • Generate fortnightly Recruitment Activity Statements for all active roles/clients.
  • Create Recruitment Activity Statements for all placed roles.
  • Prepare and modify candidate CVs for client submission.
  • Maintain a regular cadence for Vincere administration checks, enhancing data integrity and maximizing usability.
  • Build email lists within Vincere and execute database campaigns for recruitment activities.
  • Manage invitations and activities on the engagement hub.
  • Update Vincere templates and act as a superuser.
  • Administer client and candidate satisfaction surveys.
  • Conduct candidate outreach and schedule meetings for the talent acquisition team.

Other Responsibilities

  • Perform work outside normal hours as needed.
  • Complete any additional duties reasonably requested by The People Plugin.
  • Demonstrate a collaborative and proactive leadership approach at The People Plugin.

Education and Technical Knowledge

  • Essential: Bachelor’s degree in Business Administration, Operations Management, or a related field
  • Essential: Minimum of 5 years of experience in Operations or Client Delivery roles
  • Essential: Proficiency in Google Suite (Docs, Sheets, Slides) for creating templates, spreadsheets, and reports
  • Essential: Advanced user of Asana
  • Essential: Competency in Slack for team communication and collaboration
  • Preferred: Experience in Human Resources and knowledge of Australian employment law
  • Preferred: Experience in scaling environments or smaller organizations
  • Preferred: Familiarity with Employment Hero, Vincere, or Human Resource Information Systems
