Responsibilities of the Executive Sales Assistant:
Your responsibilities include:


Email Management:
Organize and manage email communications by creating folders, labels, and automation to enhance efficiency
Triage incoming messages to determine urgency and importance, scheduling tasks, events, and appointments to optimize the client’s daily, weekly, and monthly agenda
Streamline the inbox by flagging key messages for immediate attention and ensuring a systematic approach to email management

Pipeline Management & Lead Follow-Ups:
Manage the sales pipeline using HubSpot, ensuring all leads are tracked and timely follow-ups are conducted based on prior commitments
Collaborate with marketing personnel, to organize the sales process and understand the interplay between marketing and sales strategies
Set reminders and proactively manage follow-ups to ensure the client stays on task and capitalizes on opportunities with prospects
Handle data management by transferring information from Sheets to HubSpot, maintaining accurate and up-to-date records

Calendar Management:
Develop and maintain a comprehensive to-do list to prioritize tasks and minimize chaos in daily operations
Schedule and manage follow-up calls and meetings with leads, ensuring that no important communications slip through the cracks
Block time for essential tasks, follow-ups, and client meetings

Administrative Assistance:
Assist in the creation and updating of Standard Operating Procedures (SOPs) to ensure consistency and efficiency in operations
Maintain organized file documentation to support easy access and retrieval of important information
Provide support in executing new projects and initiatives, coordinating changes or rescheduling as needed

Reporting and Analysis (Nice-to-Have):
Generate reports within HubSpot to track performance metrics and provide insights for decision-making
Develop the ability to analyze data trends and outcomes, contributing to strategic planning and process improvements
