- Core Tasks:
- Support 3 executives
- Booking travel/flights (50 cities tour, 200-400 flights in 2 months)
- Executive travel, meals, logistical planning, and support (US domestic travels only)
- Calendar management and coordination (scheduling / rescheduling meetings, time-zone management, etc.)
- Agenda management and meeting briefing (i.e. daily prep for meetings, key task reminders, pre-meeting notes)
- Send meeting reminders and notes to external partners (Fortune 100 companies)
- Paying small bills such as parking tickets and medical bills
- Assist with small tactical doc prep (create and polish 1-pagers and small decks)
- Take meeting notes and create follow-up items
- Perform expense report administration/data entry
- Liaising between executives and teams and coordinating calendars
- Coordinating with vendors
- Doing local errands
- Assist with ad-hoc data entry tasks as needed
Must-have
- 2+ years experience supporting multiple executives / C-level teammates
- 1+ years experience large booking travel/flights (US domestic travel)
- Strong experience in travel management
- Basic to intermediate Excel/Sheets experience
- Exceptional written and verbal English communication skills
- Familiarity with GMail and Slack for internal comms
- Ability to work EST (8-5 or 9-6)
- Experience with Notion or similar tools for note-taking / basic project management
- Marketing management experience
